PRIVATE LESSONS T&C's

The following terms and conditions apply to all students under a full-term enrolment whether initially enrolling as a full-term student or transitioning to one. Making Music Academy Perth reserve the right to alter and update these terms and conditions - you will be notified of any major changes. It is your responsibility to ensure you revise these terms and conditions of enrolment. Please don't hesitate to ask if you have any concerns or questions. 

Term Dates 

  • Making Music Academy’s term dates generally align with those of the Western Australian Department of Education and will be emailed before each term begins. You can also find them on our welcome page. Public holidays apply.

Lesson Availability & Invoices 

  • Lesson days and times are assigned based on availability. 

  • Payment must be received to secure your lesson time for the term. Payment is required upfront. You will receive an invoice before the term starts or a pro-rata invoice if enrolling mid-term. Note: Payments made through the invoice incur processing fees, whereas payments directly to our business account do not. No refunds are provided for fees incurred through invoice payments.

  • Current Enrolments: Invoices for each term are sent in the second-to-last week of the term, with payment due by the final day of teaching. Lesson times will transfer to the next term unless discussed otherwise. However payment by the due date is required to secure this lesson time. Failure to pay on time risks cancellation of your enrolment, and your spot may be offered to waitlist students or new enquiries. We will remind you of overdue invoices, but it's your responsibility to ensure timely payment. If you need more time, please communicate with us.

​Travel/Convenience Fees 

  • Fee Structure: In addition to the lesson fee, a travel/convenience fee will be charged for each lesson. The fee ranges from $5 to $10, depending on the student’s location.

  • Cancellation and Rescheduling Policy: If a lesson is cancelled by either the teacher or the student and is rescheduled to the same day as a future lesson, the original travel/convenience fee will be forfeited. 

 

​​Lesson Cancellations

  • Lessons cancelled with less than 24 hours’ notice: Unfortunately, these lessons will be forfeited. This policy is in place to compensate teachers for their time and to prevent gaps in the teaching schedule. Please note that the forfeited payment is used to support our teachers' lesson planning and professional development.

  • Lessons cancelled with more than 24 hours’ notice: These lessons may be eligible for rescheduling. However, please understand that rescheduling is not guaranteed and depends on the availability of timeslots in our teaching schedule.

  • Rescheduling Lessons: You may be offered a rescheduled lesson time which is a few weeks in advance. If this is the case, we will offer the lesson time and be able to confirm closer to the date if we can proceed with it. There are a number of reasons why we may not be able to proceed with the lesson time and if this is the case, the responsibility of the missed lesson still lies with the student as we reserved their original lesson time, have attempted to accomodate a rescheduled lesson for you and will continue to do so until the end of the school term and subsequent school holidays. We will offer everything we can to get you a rescheduled lesson within what we can amongst the teaching schedules. In the event the lesson can't be rescheduled during the term, we will offer some options for lessons in the school holidays. A student must arrange and attend their rescheduled lesson otherwise will forfeit any outstanding lesson and convenience/travel fees. 

  • Teacher Cancellations: In the event a lesson is cancelled by the teacher, Making Music Academy will offer alternative lesson times within the term where possible, offer a make-up lesson in the school holidays or a relief teacher will take the students lessons at the normal lesson time. If however none of these options are available then you will be credited on the following term's invoice. If a student chooses to withdraw prior to the next term they will forfeit the outstanding lesson fees and travel/convenience fees. 

  • Finishing a lesson early: Students who need to end a lesson short for any reason including feeling unwell understand that the remainder of that lesson time is forfeited. 

  • Withdrawing: Under any circumstance that the student imminently withdraws they understand that any outstanding lesson and travel/convenience fees will be forfeited. This is due to the fact that the lesson time has been reserved by you for the term resulting in a loss of income and further creating a gap in the teaching schedule that may not be filled by another student.

(Cancellations: Private Group Students) 

  • In the event that one student from the group is unable to attend the private group lesson, the lesson will proceed with the student/s who can attend. The student absent will forfeit their lesson.

  • In the event that all students from the group are unable to attend - the lesson will follow the same rescheduling policy as above.

Teacher & Student/Parent/Client Communication 

  • All students enrolled with Making Music Academy are required to make any communications outside of their lesson time through Natasha and the admin team at Making Music Academy through the email makingmusicacademyperth@gmail.com or work phone number. Our teachers are not provided their students contact details and must have all communication outside of the lesson time go through the admin team at Making Music Academy. Similarly. students/parents/clients should not make any attempts to contact their teacher directly this includes but is not limited to email, phone, post, social media, private messaging through Classdojo or Seesaw. In the event that this occurs, the students is at risk of having their enrolment suspended with Making Music Academy, additionally you jeopardise your teachers employment with us. The exception to this rule is students having lessons with Natasha - the owner of Making Music Academy.

Punctuality

  • Students are expected to be prepared in good time for the start of their lesson. If a student is late or not ready to commence their lesson, the duration of the lesson will be reduced to adhere to the end of the lesson time and the teacher's schedule. 

  • In the rare event the teacher is late, the lesson will go overtime by the time missed (if possible in the teaching schedule) or be made up at another mutually agreed time. 

  • Due to the teaching schedule, lesson times must be strictly abided to. Teachers will aim to arrive a couple of minutes before the scheduled lesson to get prepared and settled into the lesson with the student. Please note the allocated lesson time includes any time that may be spent discussing information or feedback with the parent or guardian as well as entering and exiting the premises. 

  • Students who need to end a lesson short for any reason including feeling unwell understand that the remainder of that lesson is forfeited.

Student Responsibilities - Please note 

  •  For lessons taking place from a students home lessons must take place in a communal area of a students home

Teaching Materials

  • Reimbursement may be required for any necessary teaching materials purchased by Making Music Academy for a student's use. Any requirements will be discussed and agreed upon prior to financial commitment and before being invoiced. 

 

Making Music Academy and it's teachers cannot accept responsibility or liability for any costs, claims, damages, losses, expenses, injuries or liabilities whatsoever or howsoever caused to the student, client, their property, or charges whilst a client and/or student is on site.

* Client - referring to the parent/guardian or student and paying for lesson tuition of any kind 

* Student - anyone who is enrolled or scheduled for lessons

* On-Site - the students place of residents where lessons are held or teaching premises
